Part Time Evening Administrator (J8647) – Central Bristol – Permanent – £16,000 – £18,000 pro rata

Our professional services client is seeking and experienced senior administrator to join a brand new team. This team is responsible for providing evening support, assisting the firm with additional work which may come through after hours, to ensure all SLA’s and turn-around deadlines are met.

This position is to provide assistance with the finishing and reviewing of documents, experience in this area would be advantageous. The hours for the role are 5.00pm – 11.00pm Monday – Friday, 2 – 4 evenings a week (11 – 22 hours per week), applicants who are employed on a full time basis and are looking for additional work, will not be considered as this is not a second job opportunity.

Responsibilities of the role:

  • Digital dictation (audio typing).
  • Creating and amending documents ranging from 1 page to 100s of pages across a range of legal and non-legal disciplines. They will include agreements, complex documents, court documents, attendance notes, letters and hand written amendments.
  • Finishing duties such as electronically filing documents, photocopying, scanning, binding and printing.
  • Assisting the DLS team manager with administration and other tasks as appropriate.
  • Reviewing and action of incoming work requests for the DLS team whether by e-mail, via digital dictation, scanned copies or any other means.
  • Applying the house styles to non branded documents.
  • Creating and amending PowerPoint presentations and ability to merge a number of slides from different fee earners into one presentation document.
  • Creating and amending Excel spreadsheets which include updating monthly matter reports for specific clients.
  • Completing forms using Laserforms software.
  • Using and updating a work management system to provide transparency to DLS clients of the progress of work.

Desireable:

  • Trouble-shooting problematic documents, eg to deal with formatting and style issues.
  • Creating and amending complex Excel spreadsheets containing multiple formulae and/or pivot tables.
  • Creating and amending Visio diagrams.
  • Designing documents using in-house branding guidelines

What you will need:

  • Excellent communication skills (both oral and written), a good telephone manner and client/customer service ethos are essential.
  • Being a good team player, flexible and having a positive attitude.
  • Accuracy, good organisational skills, and attention to detail are required.
  • Ability to be flexible managing tasks and workload on a daily basis is also essential.
  • Excellent knowledge of the MS Office suite including Word and Outlook, Excel and PowerPoint would be beneficial.
  • Knowledge of version control in a document management system would be beneficial.
  • Training in house style, advance MS Office skills, Visio and other required software will be given.
  • The ability to type at a speed of 65 words per minute is desirable.
