Operations Coordinator

Salary £25K – £40K DOE + excellent benefits package

The Role

We are looking for an Operations Assistant/Manager to manage resourcing, meetings and the organisation of the operations team, incorporating the consulting, project management, technical and support teams. Working with members of the operations team as well as customers and prospective clients, you will manage the resource plan to ensure resourcing is controlled in advance.

Main responsibilities:

  • Managing and owning the resource plan
  • Producing bi-monthly reports on the resource plan for the CEO’s board meetings
  • Producing monthly utilisation reports
  • Liaising with external stakeholders and internal colleagues to ensure meetings are booked at mutually agreeable times
  • Proactively flagging potential issues with resourcing
  • Scheduling meetings and training sessions, including rearranging pre-booked meetings, to ensure colleagues’ diaries are booked appropriately
  • Working closely with the Head of Operations to tweak the resource plan where needed
  • Providing adhoc administration support for the operations team
  • Reaching out to customers to arrange meetings and workshops in advance

The ideal candidate will be a reliable, high-energy individual with the ability to communicate with people at all levels, with exceptional organisational skills and the ability to persuade stakeholders to meet scheduling requests with mutually agreeable success.

Essential qualifications and experience

  • Previous experience in an administrative role
  • Experience communicating with external stakeholders
  • Use of the Microsoft Office suite, including Word, Excel and PowerPoint
  • Ability to manage up as well as down
  • Previous experience in a tech company
  • Previous experience in a professional services background
  • Diary management
