Super job role working for CIC charitable arts organisation which produces bold live and digital events.
This role is a combination providing some administrative support to the Finance Manager and also to running of the office operation for a for a small, creative team.
Main Responsibilities
·Support the Finance Manager to maintain accurate records on the company’s internal finance systems, including logging payments and invoices received, paying invoices via payment software, and raising invoices.
·Support the Finance Manager with the monthly credit card reconciliation.
·Ensure compliant treatment of VAT.
·Act as a welcoming and helpful first point of contact for all project enquiries
·Responsible for general office management including routine correspondence and filing.
·Co-ordinate Board meetings, including scheduling, distribution of papers, and welcoming guests.
·Responsible for taking company meeting minutes and circulating to the team.
·Responsible for the administration of equipment hire externally and in-house.
·Arrange couriers and other deliveries as necessary.
·Liaise with suppliers and visitors as appropriate.
·Draft project contracts from deal memos and maintain the company Contracts Tracker
·Liaise with company team members to maintain Fundraising Tracker
·Be the first point of contact for the landlords of the project office.
·Maintain all office services and systems (IT, cleaning services, etc.) and be the main point of contact for all dealings with external contractors.
·Be responsible for the day-to-day maintenance of the project’s IT resources.
·Support with enabling clear and sufficient communication among the project team, including the sharing of calendars, diary management and regular updating of shared information.
