Our client, a highly successful award-winning international software company, are experiencing an exciting period of growth and now have a lovely opportunity for an Office Administrator to join their fantastic team based in Central Bristol. The Office Administrator will provide administrative support to multiple members of staff and help manage their new bespoke, state of the art premises in central Bristol. The ideal candidate will have a keen eye for detail and be able to prioritise a variable workload. Being the first point of contact for external stakeholders. You will be polite and professional with excellent organisational ability and IT savvy with excellent written and verbal communication skills. This role will have an extremely diverse workload involving a mix of office management support, administrative tasks and client support and would suit an administrator with a minimum of 1 year’s experience with an outgoing personality to work in a highly professional but very social team.
Main responsibilities
- Being the first point of contact for visitors, both face to face and over the telephone
- Administration of monthly expenses
- Planning and managing company social events including hospitality, gifts etc
- Managing the booking and preparation of meeting rooms including catering requirements
- Taking minutes in meetings
- Ordering and managing office stationery stock
- Booking travel & accommodation as required for colleagues
- Managing incoming/outgoing post
- Keeping office food and drink supplies adequately stocked
- Undertaking initial contracts information gathering (e.g. office insurance)
- Managing an internal equipment inventory
- Submission of weekly timesheets and staff questionnaires
- Supporting the sales and marketing team with customer events when required
- General office administration tasks as and when required (e.g. filing, photocopying)
Essential skills and experience required:
- A minimum of 1 year’s office experience
- Excellent communication skills both written and verbal
- Strong IT skills in Microsoft Office suite
- Minute taking
- Polite and professional telephone manner
- Highly organised with the ability to prioritise a busy workload
